I Job Title: Clerical Assistant

II Employment Term, Salary & Work Hours: $14.00/hour; 35 hours/week (12 weeks)

IV Direct Report: Youth Program Manager

V Position Summary: The Clerical Assistant will provide support to the Youth Program Department to ensure the efficient operations of the department and office. To perform this job successfully you must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

VI Duties and Responsibilities: The Clerical Assistant reports to and takes direction from the Youth Program Manager. Duties include:
  • Answering phone calls;
  • Using a variety of equipment such as copiers, scanners, and printers;
  • Ensuring that office equipment is appropriately maintained;
  • Ensuring that records are properly filed and that the filing system is kept running and efficient
  • Preparing correspondence;
  • Scheduling meetings, taking minutes of the meetings, and ensuring proper documentation of all information;
  • Copying and distributing paperwork such as memos and correspondence;
  • Performing research work provided by superiors and make comprehensive notes accordingly;
  • Assisting in office management and organization procedures;
  • Maintain inventory of supplies and order supplies low in stock;
  • Make sure that all office areas are kept clean and well organized at all time;
  • Assisting in travel arrangements and booking venues; and
  • Perform other office duties as assigned.

VII QUALIFICATIONS:
  • Experience in a clerical position, an asset;
  • High school diploma/GED, an asset;
  • Working knowledge of office devices and processes;
  • Knowledge of Microsoft Office Suites;
  • Excellent communication skills;
  • Excellent organizational and multi-tasking abilities;
  • Good numeracy skills;
  • Accurate keyboard skills;
  • Knowledge of office management systems and procedures; and
  • Must be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

IX Physical requirements: The ability to perform physical duties (i.e. lifting, cleaning) as required.

This is a full-time contract position. Salary is commensurate with qualifications and experience. Although preference will be given to Indigenous applicants (First Nations, Metis and Inuit), all qualified candidates are encouraged to apply.
